Position Overview
A Service Operations Coordinator , reporting to the Manager of Service
Operations, will be responsible for the coordination of activities including
installation, preventative maintenance, upgrades, and repairs of the Tablo
Dialysis System.
The Service Operations Coordinator will work directly with Field Service
Engineers to support all field activities such as customer repair activities,
spare part requirements, tools and equipment assignment and calibration, as
well as, internal communication with Engineering and Manufacturing. The
Coordinator will additionally provide support to the Services team on product
demonstrations as necessary. The Coordinator will also be responsible for all
Services personnel on-boarding activities. The Coordinator will be responsible
to review and audit repair documentation to ensure adherence to Outset’s
Quality Management System policies and procedures.
Essential Job Responsibilities
- Schedule and track Preventive Maintenance calls and utilize/coordinate unplanned repairs to reduce travel utilizing Salesforce.com and Service Lightning.
- Responsible for generating and tracking upgrade (HW/SW) FSRs and reporting on progress.
- Track RMA & part returns ensuring timely receipt from the field.
- Manage, review and track car fleet expense, insurance, and repair activities.
- Supply and reconcile spare part trunk stock inventory for each Field Service Engineer or site location.
- Ensure Training Requirements are performed on-time and ensure updates are captured appropriately.
- Ensure proper stock quantities of tool kits, personal protective equipment and other material to support new hire activities.
- Self-starter with the ability to multi-task and reprioritize duties throughout the day.
- Excellent communication skills with the ability to interact with customers, patients, and internal personnel.
- Manage and maintain company assets required to perform all necessary job functions.
- Other special projects and duties as assigned.
Requirements/Qualifications
- High school diploma required
- Bachelor’s degree preferred
- Minimum 2 years of related work experience
- Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Ability to deal with problems involving several variables.
- Experience establishing relationships with customers to ensure quality workmanship and on time deliveries.
- Solid project management skills to track, status and complete assigned deliverables on schedule.
Computer / Software Skills
- FSL/Salesforce.com experience required
- Excel, Word, Power Point, MS Project required
- Agile or similar Product Lifecycle Management System preferred
- QAD Experience preferred
