Position Overview

This dynamic and friendly individual will help create the best first impressions and company experience for all visitors and employees while also overseeing various aspects of office and reception management, including, but not limited to, correspondences, ordering supplies, employee event planning, and supporting the business needs as necessary.

Essential Job Functions

  • Act as workplace site operations lead and run various site operations and workplace programs to ensure a seamless day-to-day experience (e.g. food, snacks, mail & packages, etc.)
  • Handles incoming and outgoing mail including letters and packages via USPS and FedEx
  • Routinely checks to ensure the reception, shared space areas, conference rooms and kitchen are neat and clean, including watering plants
  • Oversee front desk operations; Responsible for organizing and maintaining the front office/reception area
  • Provide support in vendor management, schedule repairs as necessary, and help in ensuring we have the best-in-class suppliers with a lens towards diversity and inclusion
  • Maintain conference room calendars, organize all office swag, storage areas and communal areas in an orderly fashion.
  • Assist with alarm, camera and badging
  • Take pride in ordering, organizing, stocking supplies, delicious catered meals, snacks and beverages - just to name a few.
  • Manages workstation assignments
  • Maintain the highest level of customer service with employees, contractors, vendors, and guests on site
  • Functions as the main point of contact for all office-related needs and requests; prioritizing requests as needed
  • Work with the Employee Experience to coordinate internal events including office parties, company all hands, and industry meetups
  • Manage and complete expense reports
  • Comfortable with cascading information across different departments or to the entire company
  • Be an active, positive, and supportive listener to colleagues
  • Smile and take pride in the experiences that you create
  • Manage office inbox and all incoming calls
  • Responsible for taking employee photos for culture wall tiles: ordering, receiving, installations

**_Required Qualifications


  • 2+ years of progressive administration, planning, or coordinating experience
  • Ability to work onsite 8am to 5pm Monday-Friday with flexibility for overtime for company events & as needed
  • Computer & basic IT savvy
  • Ability to set up a karaoke machine :-)
