About the Role:

We are looking for an experienced administrative professional to help our Workplace Operations team grow our administrative service offerings to support our growing organization. Reporting to the Senior Manager of Facilities, the Administrative Coordinator will work closely with numerous cross-functional team members to support multiple projects and priorities simultaneously. This individual is comfortable with ever-changing tasks and responsibilities and demonstrates high levels of flexibility and adaptability. They have experience interacting professionally with executive stakeholders and supporting colleagues cross-functionally. Requests for support will come from many individuals within our organization, and therefore the Administrative Coordinator must be able to make decisions and prioritize accordingly, at times without support from the Senior Manager of Facilities.

_This role will be required to work from our Boston office two days per week, and as needed to support meetings and conferences. _

Responsibilities:

  • Manage shared company-wide calendars, including holidays, office closures, and company-wide events and activities
  • Monitor and support company-wide phone system, including routing voicemails that come into the main line to the proper team
  • Order catering, and support setup/breakdown of meeting rooms for meetings and conferences
  • Greet visitors in reception area when there are meetings, conferences and in-person interviews scheduled
  • Provide administrative support to specific Executive Assistants as needed, including: calendaring, administrative tasks, as well as vacation coverage for Executive Assistants when they are out of the office
  • Provide administrative support to Senior Manager of Employee Experience for new hire onboarding process, including calendaring, communications, and participating in welcome conversations
  • Provide event support to Manager of Internal Events for in-person events 2x per year, including setup for sessions, printing and distributing materials as required, and more
  • Add and update documentation in our company-wide knowledge management database

Our Ideal Candidate Has:

  • 3+ years experience as an Administrative Assistant
  • Experience directly supporting senior and executive level leadership
  • Demonstrated proficiency in Google Suite (GMail, Google Calendar, Google Docs, Google Sheets, Google Slides)
  • Experience overseeing both internal and external event planning & execution
  • Superb organization, attention to detail, project management skills and ability to meet deadlines
  • Exceptional interpersonal and communication skills (both verbal and written),
  • Experience facilitating informational training or onboarding highly preferred
  • Demonstrated experience effectively managing competing priorities or deadlines
  • Experience incorporating attention to diversity, equity, inclusion and belonging in your work

Panorama excitedly hosts two in-person "all team meetings" a year. All Panoramians attend and travel/hotels are provided. (Paused due to Covid)
