Position Summary
We are seeking a part-time Financial Specialist to join our team in Carmel,
IN. As a Financial Specialist, you will play a crucial role in managing
various financial processes, including accounts receivable, accounts payable,
payroll administration, and financial support. Your responsibilities will
involve maintaining accurate records, collaborating with financial vendors,
and contributing to the financial well-being of the company.
Responsibilities
Accurately execute daily Accounts Receivable and Accounts Payable
processes (50%)
Accounts Receivable
- Pick up checks daily at 10:30am at the Carmel Post Office
- Update QuickBooks Online with collections and bank transactions
- Post daily receipts on company Teams channel
- Send invoices to clients with the correct payment terms, invoice lines, and billing contact
- Maintain accurate client information in Quickbooks Online and other systems
- Execute collections process and monitor customer accounts for timely payments and following up on overdue accounts
- Assisting with customer invoicing and billing inquiries
Accounts Payable
- Pay company bills accurately and on time via bill.com
- Create and maintain a current vendor list of bills and expenses
Month-end payroll administration and reporting (25%)
- Prepare payroll numbers including commissions, monthly salary amounts and reimbursable expenses
- Post month-end numbers for commissioned team members on Team channels
- Bill and collect payments for billable client expenses
- Review and approve expense reports from employees in Expensify. Ensure timely reimbursement
- Execute payroll directly in our company payroll system: Worksmart
- Reconcile collections between QuickBooks Online and Salesforce daily. Identify and reconcile any discrepancies
Provide helpful, financial support to internal and external parties (20%)
- Point of contact for medical benefits and HSA questions with WorkSmart
- Manage Open Enrollment
- ACH processing and set up
- File vendor contractors and unique payment terms
- Serve as liason for financial vendors/partners
- Maintain accurate employee records in our payroll management system, managing employee terminations and new hire paperwork collection and entry
Company Events (5%)
Participant in team initiatives; examples include but are not limited to:
- Collaborating with colleagues to maximize opportunities to improve and grow
- Monthly A-Team zoom meetings
- Mid-year and Annual meetings
Position Requirements
- 1+ year experience of accounts payable specialist experience with QuickBooks (or similar Accounting Software)
- Experience working in a client-focused, professional services business preferred
- Proven software and technology savvy skills
- Expert level fluency with all Microsoft products
- Salesforce.com experience preferred
- Exceptional written and verbal communication skills
Time Requirements
- up to 20 hours a week
- Based in Carmel, Indiana office with flexibility for up to 2 days per month of remote work during payroll week(s)
Base Salary: $30/hour
