Executive Assistant Role

As our Executive Assistant, you will be responsible for cohesively managing and scheduling communication of key company executives as well as overseeing a broad range of administrative duties. You will succeed in this role if you hold initiative, excellent moral and professional judgement along with independent decision making skills. We are looking for a professional with confidence and team attribution with enthusiasm towards internal and external stakeholders. You will be a proactive member of the Hive Team by participating in company events and committees while providing fresh inputs and suggestions. Responsibilities

  • Proactively manage and optimize executives’ calendars based on ongoing projects, client meetings, fiscal calendars
  • Coordinate internal and external meetings, such as one-on-one meetings, meetings with stakeholders and customers, off- site meetings, team meetings, full staff meetings, all hands meetings
  • Book appropriate domestic and international travel within Hive’s travel policy, taking into account travel Visas, costs and proper documentation
  • Effectively partner with employees from other teams and recognize key players within Hive
  • Assist with luncheon planning, and planning of other business related meetings as requested
  • Other administrative and project duties as requested.
  • Maintain awareness of industry best practices for data maintenance handling as it relates to your role.
  • Adhere to policies, guidelines and procedures pertaining to the protection of information assets.
  • Report actual or suspected security and/or policy violations/breaches to an appropriate authority.

Requirements

  • You have a Bachelor's degree
  • You have 2-4 years of work experience as an Executive Assistant
  • Excellent written and verbal communication skills
  • You have a proven ability to work long workweeks when needed
  • You have demonstrated success in a competitive environment
  • You are highly self-motivated and ambitious in achieving goals
  • Strong team player, but can work and execute independently
  • You’re driven. No one needs to push you to excel; that’s just who you are
  • You are hungry to learn and you actively look for opportunities to contribute
  • You are highly organized and detail-oriented; you can handle multiple projects and dynamic priorities without missing a beat
